Who we are

TradeVoice is a bookkeeping app for traders in Nigeria. We follow the Nigeria Data Protection Act 2023. Questions or requests about your data: mike@hexaaiagency.com.

What we keep

• Your account: your phone number, name, business name, language, and when you log in. Your password is stored only in a scrambled form that cannot be read back.
• Your book: sales, credit, payments and spending; your customers (names, and phone numbers or notes you add); reminders and message drafts; the words you said or typed for each record; and nicknames and usual prices TradeVoice learns so it understands you better.
• A usage log for our team: what happened (for example a voice note came in, a record was saved, a customer was added), which language, how long it took, and whether something failed. No names, amounts, words or audio, and your number is replaced by a code that cannot be read back. We use it to find and fix problems.

Helping make TradeVoice better (only if you say yes)

We ask you once, separately: "Can we keep your voice notes, photos and chats with TradeVoice?" Saying no never limits the app.

• If you say yes, we also keep your voice notes, photos, the sound of live talk, what TradeVoice heard, and your chats with TradeVoice and its replies. Our team looks at them to fix mistakes and see how the app is used, and we use them to train our AI to understand traders better. They can include what you say about your customers.
• Only our team sees them. We never sell them.
• Turn it off any time in Me (on the TradeVoice chat bot, send improve). We then delete everything we kept.

What we do not keep (if you said no, or have not answered)

• Voice notes and photos: they are read, then deleted straight away. Only the records you confirm are kept.
• The sound of live talk: it is turned into words as you speak and not stored.

Where it is kept

On our server with Amazon Web Services in Ireland (European Union). Only the app itself can open the files. Every hour we make a backup copy of accounts and books; backups are kept for up to 30 days. What you chose to keep for improving TradeVoice is stored separately on the same server and is not in the backups.

Who else handles your data

To hear you, understand you and speak back, the app sends each request to one of these companies. Each gets only what it needs for that one request. Some of them work outside Nigeria.

• Intron: hears your voice and speaks the replies.
• Modal: runs the N-ATLaS and Whisper models that hear and understand you.
• NVIDIA: understands your questions in the chat and reads photos.
• Telegram: carries your messages if you use TradeVoice on Telegram. Your phone number reaches us only if you tap Share my phone number. When you open your book from the Telegram chat, Telegram tells us which Telegram account opened it (your Telegram ID and name), so you don't have to log in.
• Termii: calls you to read out your sign-up or reset code (or sends it by text), so it sees your phone number and that code.
• Meta (WhatsApp): carries your WhatsApp messages, once the TradeVoice WhatsApp bot is switched on.
• Paystack: handles payment links you choose to send.
• Amazon Web Services: runs our server.

How long we keep it

• Your account and book: while your account is open.
• When you delete your account, it closes at once and is no longer used. We keep your account and book for 90 days so you can change your mind: log in and tap Keep my account. After 90 days we erase them for good. Backup copies that still hold them are gone within 30 days after that.
• Want it erased sooner? Ask us from your number at mike@hexaaiagency.com and we erase it within 7 days.
• A record or customer you delete is removed from your book at once.

Your rights

• See your data: everything is in the app.
• Take a copy: Me, then Export my book.
• Correct it: edit any record.
• Delete it, or stop using TradeVoice, at any time.
• Stop helping improve TradeVoice: turn it off in Me, and what we kept is deleted.
• Ask us to explain or check anything the app worked out about you.
• Complain to the Nigeria Data Protection Commission (ndpc.gov.ng).

Our promises

• We never sell your data.
• We never message your customers. Reminders and receipts are drafts you send yourself.
• If we change this notice, we tell you in the app first.
